Minutes of PTO Meeting
JANUARY 20, 2011
1. Call to Order. Vice President Haschak called the meeting to order at 6:17 pm.
2. Minutes of the meeting of December 9, 2011 were approved.
3. BOYS SCHOOL PRESENTATION
The boys expressed the hope everyone had a good winter break. After break, the first two
weeks have been smooth, cheerful, peaceful and wonderful. Clubs have started up again.
Basketball started up as well. The first game for the elementary and junior high went well - they
won. The high school lost. Everyone is welcome to come to games which are at Coyote Valley
gym. Finals are coming up, hoping everyone will do well.
4. GIRLS SCHOOL PRESENTATION
Presentation by Megan (Senior) and Mai (Senior). A. Megan is President of the Model
UN Club which is going to a conference at UC Berkeley, an annual event, March 4-6. Megan is
hoping to re-establish the Mendocino County Model UN club which has not been active for 6
years. Our club is planning on holding a model UN workshop (in February) and conference (in
April) here, and is working with other highschools to prepare. B. The solar shutters finally here
and work is being done to install them in girls school. C. Last week we had a half day. The girls
school had a silent reading session for 2 hours and met afterward to share experiences of books
read. D. High school exchange - 3 students went to Ukiah High. The visit of 3 Ukiah High
students to our school has to be rescheduled. E. Chinese New Year is Feb 3. Will be
celebrating in school on the 4th. The high school is having in school celebration and the girls will
visit elders home, sing songs, have treats, etc. F. The basketball team lost first game, but were
close. Everyone is welcome to come to games. G. Newest project GOOD GIRLS GO GREEN
- they want to print tshirts supporting green peace or anything similar . A student in Berkeley
has a club that makes the t-shirts (shirts from subsaharan Africa, organic). They can print 3
colors for less than $10. They will sell in girls school and profits will go to program which helps
college students with loans for studying, and/or help for Mexico Trip. H. Involved in Seaman -
a challenge to high school students to come up with solution for an energy problem. They have
considered Project CART - painting shopping carts bright color (to mark as part of program) and
have for use away from store so people can walk groceries home without using bags. Surveyed
people at store, most liked idea but stated they live too far away from store to walk - may not be
workable in our area. I. Seniors have finished college applications and are waiting to hear back.
J. Hoping to have huge community service program. K. November adopt a highway with the
Dominican College - 4 hours of cleanup. Other projects reviewed have issues of being too time
consuming, far away, or training required. L. During Guan Yin Session the Seniors will take
time off from school to attend sessions from 4am to 10pm the entire week of Guan Yin Session.
Parents suggested coming up with a walking meditation teaching program as both a green
project and/or a community service program. The girls will review that possibility.
5. TEACHER PRESENTATION.
Laura Furlong, Third Grade core teacher, grades 4-6 writing; PE and track club. The
high school has been accepted into North Coast Section as Non League Affiliate (the girls can
have track team that compete in meets in area, but don’t need to go to all meets everywhere -
which would be prohibitive). Has tentative schedule - girls could compete in 4 meets. 2
Cloverdale, 2 Willits. Will need some equipment for practice/training. We have a long pit
jump, and a makeshift high jump. The Girls School will purchase 1 practice hurdle, Ms.
Furlong will donate 1 or 2. Requesting PTO to donate 1 as well so have a total of 4, the
minimum to properly train. With shipping cost is about $80-85. Also can rent track facility at
Mendocino College - $30 for first hour, $2 each additional hour. Their staff will put out
equipment, etc and put away (regulation equipment).
Treasurer Zhao Qiu stated there is room in budget under Clubs and Sports and reminded
us we are already in the second semester. Eric Crawford moved that PTO allocate $90 from
Sports budget for purchase of hurdle, Jennifer O’Brien seconded. Motion approved.
A discussion was then held regarding renting the college track, sharing with boys, etc.
Jennifer O’Brien moved add approval of one track rental, Eric Crawford seconded. Motion
approved. Ms. Furlong will talk with Boys school to coordinate if they want to share time.
6. Treasurers report.
End of December we had $150 income (PTO dues). Spent $300 for girls school fence.
The other big expenditure was the Teacher Appreciation end of year gifts. We spent a bit more
than anticipated because of miscounts - missed 3 girls school volunteers and 4 Boys school
volunteers . Total $2,140. The Projected income for the year is $5,250, we had a large
donation from a family and have already hit $5,240. Should get another $1,000 in PTO dues
(Installment tuition payers have not paid all dues yet). Will have more accurate number by next
year. A reminder to the principals that no one has used the teachers medical fund, make sure
PTO advised if need arises.
Mr. Bostick moved to commend Zhao Qiu for taking it upon herself to do right thing in taking
initiative to spend extra for miscounted volunteers and moved to change the budget to reflect
actual cost. Jennifer O’Brien seconded. Motion approved.
OLD BUSINESS
Jennifer O’Brien reminded everyone about signing up for escrip which can be done online.
Zhao Qiu discussed organizing a Teacher Appreciation banquet. Discussion held. Decided to
hold banquet after school is out on February 4 as it is a fortuitous time for such an event. Zhao
Qiu proposed an expenditure of $200 for teacher banquet to purchase a main dish, and recruit
cooks for pot luck for additional dishes. Banquet to be primarily for teachers, not entire school.
Mr. Bostick seconded the expenditure request. Motion approved.
Zhao Qiu, Jennifer O’Brien and Vivi Phi to volunteer to help coordinate.

December 9, 2010

Girls School Presentation
Raised enough money for solar shutters which they will be ordering tomorrow morning $860.
People in charge of the building were concerned with electrical issues, but reviewed and it is
fine. Note to check projects with them in future.
Exchange program with Ukiah High started, last week they contacted President of Ukiah High
ASB and exchange will start in January.
No winter potluck this year Students will go to small dining hall instead on Wednesday for
lunch period, only students. Elementary girls will sing songs for entertainment. . Christine has
contacted students in Hawaii, re sister school project, but the student she needs to discuss it with
has not been there. Melissa made a trip to Africa as volunteer, she made a presentation which
was very moving, had slide shows. She was very inspirational she went on a program set up by
Buddhist monk to help Mali orphans
Flor Haschak and Unica Yepez made a presentation on 7th/8th grade studies. Science - physics,
Newtons laws, density and bouancy. In english - finished reading TheTempest, Shakespeare’s
last play. Watched movie Christmas Carol. Have been doing Eqs. for book reading - the Kite
Rider about someone who lives in China and rides kites. Read a Chrismas Carol as well by
Charles Dickens. Enjoy Chinese, especially artistic activities. In virtue studies are learning eight
virtues: Trustworhty, fair, loyal, good citizen, respectful and kind. After lunch - physical/pe -
help in kitchen, clean dining hall.
Alicia reported that upper grades would be interested in a PTO trip for 1 day overnight about 20-
25 people. They will check with elementary school for younger kids’ interest
Budget
Not much change - - $100 moved from reserve to teacher gifts, budget $100 more. Teacher
Appreciation – used to give teacher’s choice out of types of cards, but now just giving Ukiah
Coop gift card to simplify.
There is $140 more received in PTO dues
No other expenses
Teacher Appreciation
Cards have been in each school last couple of days. They are here on table today - sign on your
way out. They will go back to the schools until the gift cards are ready. Asked Barbara
____________ for poem (had not heard from anyone) She brought two versions next day - - one
for Buddhists, one for volunteers. Barbara read the poems which were very moving. Please
decorate cards this evening with stickers.
Next Wednesday potluck at boys school
Girls School Wednesday luncheon at dining hall - Brian will go as a representative of PTO at
event, he will be only one as the event is limited.

Great thanksgiving break. No banquet but will have a winter break potluck, parents are welcome

A request made for a Santa, however, that has been arranged (Mr Peterman)
Benjamin’s mother - donated water dispenser for weight room, the Boys are very happy and
thankful with that

Old Business
Heng Jiao Shr -sent a letter to PTO. After the last meeting the heater was not turned off, food,
papers supplies, etc. was everywhere. It was VERY messy and Students had to help clean up
afterwards on their day off. PLEASE MAKE SURE TO CLEAN UP. Brian Yepex suggested
we designate a person to stay after to make certain cleaned up and turned off. He volunteered to
do so this meeting. A request was made to convey apologies.
Box Tops - once got $40 - - is anyone interested in collecting box tops, turning in and getting
funds. Someone will need to Need to contact program - - get account number and figure out
how to turn in. Brian Yepez volunteered to look into it on Dec 15 and will try and figure out.
Also have Shares cards - Food Maxx, Lucky and Savemart.
BOX TOPS money goes to PTO, Shares to School. Funds come quarterly - last quarter was less
than usual If forget to use card, can go online, enter card number and receipt number and still get
credit.
Jennifer volunteered to look into escrip at Safeway
Jin Rou Shr is gathering info for newsletter which will be put on website. A request for a
translator for overseas parents. A list of donations for newsletter requested. The Sherwood
Tribe $250, verbally committed have not cut check yet. Will send newsletter by email, put on
website. Only a few hard copies available in office. Trying to stay green. Also a request that
bulk emails go out by bcc, not cc, so addresses not shared with all.
Fence for Girls School. Jin Rou Shr talked to Home Depot and put together estimate. School
has some funds. Home Depot will help but must review. Fence to be from Stairway on one side
of school to other side, gate for handicapped, but will keep closed. Wood fence. A request for
donation made. Zhao Pegan moved to donate $300 foro fence, from School supplies and special
projects (leaves -$30 on girls side). Jennifer O’Brien seconds. If need arises later can
reallocate funds. Mr. Bostick says boys will support, don’t need to take it from “girls side”
Heng Yin Shr thanked and announced parents who are volunteering at school:

Honoring Elders Day was wonderful
Girls School went on a field trip to the SF Academy of Sciencewhich was very educational and
wonderful.
Jin Rou Shr lead everyone in a game of spoon and fork - everyone had a great time and laughed
a lt. It was very helpful in community building and communication skills

November 11, 2010
Call to Order President Yepez called the meeting to order at 6:15 pm. President Yepez thanked
John Haschak for stepping in for the last meeting.
Review Agenda/Approval of Minutes
Mr. Setera had a questions regarding the allocation of the funds received from the Tribe and the
costs of basketballs. It was mentioned that Big 5 gives a discount if you tell them they are for a
school. The minutes of the meeting of October 14, 2010 were approved
Budget Report
Treasurer Zhao Pegan reported that the PTO has collected more money since the last meeting,
more families have paid their dues. For families making monthly payments for tuition, money
will be received later. $40 was paid to O’Haru for PTO food (PTO was only charged for half,
the other half was donated). The budget report has a mistake which say $2,100 was paid for girls
school, actually $21.60 was paid. The liability insurance was paid and expenditure allocated
proportionally to boys and girls school budgets. The treasurer questions where the approved
addition of $100 to the teacher appreciation budget should come from - reserves or other budget
items. Discussion was held regarding maintain reserves and not making withdrawals from it too
often. President Yepez to pull the $100 from reserve for budget with caveat that we will not do
so often. Jennifer O’Brien seconded the motion, it was resolved and approved to use reserves for
the $100 addition to the teacher appreciation budget approved October 14, 2010.
Janice Haschak who has been providing child care at PTO meetings declined payment for such
care. A discussion was held (there is $100 budgeted for childcare - $10 per meeting, 10
meetings per year). Julie Golden moved to leave $100 in child care in case it is ever needed and
avoiding need to take from reserve. Motion approved.
A thank you to Mr. Bai for providing dumplings.
Boys School report
The boys apologized for not informing PTO about their Halloween party at last month’s meeting.
It was very successful despite late planning and they want to do it again next year. The Boys
thanked _________________ for their donation for the party.
The weight lifting class would like to get a water dispenser inside classroom (ideally both warm
and cold water, but they will take what they can get) and a stationary bike. The Boys are
preparing for Honoring Elders Day. They will do the Dragon dance and Taiko drumming,
however there will be no Lion dance. They would like to try and organize something for
Thanksgiving, something where everyone can relax, gather around on the Wednesday before
during school. A parent asked whether it would be just for students or for parents and student.
Parents are always welcome. A notice iwll be sent to parents. Not a party, a gathering. If they
decide on a potluck, they will send a notice to parents.
A discussion was then held regarding food issues -having quiet during meals, what sorts of foods
are best nutritionally, seasonal eating. It was decided that a committee will be formed to look in
detail at food issues, in conjunction with kitchen staff. Anyone interested should contact
Heather ___________. The committee might do a parent education/workshop on what is best
for the students.
A discussion was held regarding what beds were being used by dorm students. The Boys
reported that dorm students have new beds and the bed situation is fine.
Teacher Appreciation
Zhao Pegan reported that she didn’t bring the Boys School cards today. She requested parents to
stay after meeting to sign Girls School cards. The next meeting will be the last opportunity to
sign cards. A discussion was held about either leaving cards in the respective offices for a week
for signing or setting up a special day for signing. Zhao Pegan will be available for signing on
Tuesday, Dec 7,6pm. She also requested help for ideas for poem or something to put in the

A discussion was held about the annual winter banquet. Last year no funding was needed for
banquet. Heng Yin Shr said it has not yet been planned. A request that all PTO Officers attend
banquet to present gifts to teachers. However, Heng Yin Shr reported that as the schools have
grown a banquet with all the parents is too cumbersome. It is requested that the parents take an
initiative in organizing and putting together an event for teachers where they do not have to do
any work. If we do such a thing, it can be done in January, and proposals should be made at the
next meeting.
Field Trip
Vivi Phi volunteered to organize for Boys school
Jennifer O’Brien reported that no one has expressed interest in organizing trip for Girls. It
will be an Agenda item for next meeting. It was requested that the ASB do a survey to set if
there is student interest in a trip, and whether they would want a 1 day or 2 day trip.
Girls School.
The girls recently had a Halloween party which was a lot of fun. They had a costume contest.
Last Monday was a talent show. A couple of students sang, it was also a lot of fun. Last Friday
was spirit day. The girls went to theschool soccer field and cheered and they all wore blue and
yellow.
The girls have been working on a Uganda project to sponsor two girls getting an education in
Uganda. They raised $1,400 this semester by writing letters and other activities and getting some
big donations. The girls have raised $740 for the Solar shutter. They received a generous
anonymous $600 donation from a teacher and a parent. The need another $140. When they
spoke with the company the price of the shutter is actually $2000 and the company will donate
$1,200. The shutter produces 150 watts per hour in full sun. It will pay for itself in about 15
years. Mr. Setera inquired about installation. It is hung on the window with 4 screws upstairs
facing sun. Christine sold all her green products. She will be ordering more this week. Ove the
next few weeks the girls are focusing on Honoring Elders.
Monique who is in second grade made a presentation. She showed a pumpkin book. Everyone
made a book in class and they have been writing about it for a few days. It was passed around.
In science they have been drawing flowers. Ms. Furlong, the core teacher, will bring in plants,
and they will write poems, etc. to learn science and writing at same time. They make a calendar
every month, everyone in class makes two squares in the theme for the month. October,
halloween, pumpkin pie, etc. In Math, they each have books with division, multiplication, etc.
They get prizes for passing multiplication.
A question was asked whether the girls school will be making any cards, gifts, etc for holidays,
for fund raising. It will be discussed with Ms Furlong.
New Business/Open
[Kristin??] discussed the no driving zone at Boys School. It was explained that because the
dorm students are crossing all day long, it is blocked for their safety.
Also, there is a project to work on signage around school. A big part of that will involve traffic
issues. For instance, many newcomers don’t know that traffic coming into school grounds has
the right of way, and outgoing traffic is to yield. Also working on issues concerning safety and
a method to identify cars coming into property - - i.e., students/families versus visitors, and
lighting (old wiring cannot be used, so this will be a big project).

Call the Meeting to order. President Yepez absent. Treasurer Zhao Qui called meeting to order
at 6:23 pm

A vote was held and John Haschak was unanimously voted in as Vice President.
The Minutes of the Meeting of September 16, 2010 were approved. The Agenda was approved.
Vice President John Haschak took charge of the meeting.
Progress Reports and Discussion
1. Budget/Financial Report
Treasurer Zhao Qui reported that there was no spending for first month.
The budget was divided between the boys and girls divisions on a pro rata basis by
number of students.
The Sherwood Indian Tribe donated $250 and half goes to each school for sports.
Mr.andMrs. Yepez bought boys school basketballs and would like reimbursement. Jennifer
O’Brien mentioned that the girls school basketball team needs new balls and practice jerseys.
Donation could be used towards that.
2. Committee Recruitment. Discussion was held regarding volunteers for various
committees and fact that committee persons could/would seek help.
a. Fundraising - Lenora ____________ volunteered. Fundraising person will help
come up with fundraising ideas that are in conformity with school rules and
policies.
b. Volunteer Coordinator. This person keeps track of volunteer hours of
parents/families.
c. Field Trip Coordinators (2)

Jennifer O’Brien mentioned that the Field-Arenas family had previously
mentioned possibly helping with Girls School trip and she would check with
d. Transportation. Someone who makes certain there is transport to school events,
field trips, etc.
Boys - Usually the teachers do it and they have enough parent volunteers
on a case-by-case basis
Girls - Usually figure out on a case-by-case basis.
There is probably not a need for a regular position for this.
e. PTO Meeting food - thank you to James __________ , owner of Oharu - WHO
made two trays for price of one for the meeting. Everyone is encouraged to bring
own plates and utensils so we keep trash down
f. Teacher Appreciation. Organize events for Teacher Appreciation (Christmas,
banquet) and gifts/cards for Teachers.

3. Boys School Presentation
Senior Junior Retreat - Sat/Sun ___________________ house. Only activity for
upcoming month
4. Girls School Presentation
The girls found out about Solar Shutters. In connection with their going green efforts the
girls want to raise money for solar panels. Raised $130 so far, will be approximately $600 to
hang in window girls school on the south side. It produces energy right away which goes into
outlet and runs through building. Lifespan is 7 to 8 years. Will replace. Parents asked what are
the watts per hour and how much savings there would be after installation. Girls said they would
research further.
Christine sold all her green products last month and has made order forms which will be
available to everyone.
The Halloween party is October 29, 5pm to 7pm.
November 5 is Spirit day. During p.e. class they will have a rally for school with cheers,
etc.
October 15 - a leadership retreat done by alumni at 2pm for Juniors and Seniors. This
happens every year, to help with leadership skills, bonding, knowing yourself, etc.
On October 10 at the Saturday Afternoon Club was a green event. 20 students walked
from school to SAC and back as no cars were to be used to get to event.
Three Elementary Girls did a Presentation on what they have been learning. They did a
presentation of science/biology they have been doing. The presentation was on the five senses -
they had layered models of eye, mouth, ear, which showed various parts that make them up.
There was recently a field trip to tide pools at which they had a good time
They are learning Latin and Greek root words, they gave some samples. Many
everyday words come from those roots.
5. Teacher Appreciation
Zhao Qiu made presentation. In the past we have been purchasing Coop gift cards of $20
each. Boys school has 38 teachers, Girls school has 37 - 75 total. Does not include lunch prep
staff. Probably about 80. = $1,600. We budgeted $1,500. Has cards wants to start getting
signed after the meeting.
Jennifer OBrien moved to have $100 added to the budget for Teachers Appreciation0,
Lenore ________ seconded. Unanimously Passed.
Other
1. School Field Trips
Alicia Yepez discussed need to get going on moving on field trips. Alicia happy to work
with Boys trip.
Zhao Qui reported that the cost last year was $25 for 2 days. Raising to $50 for boys
school for a two day trip.
A discussion was held regarding whether or not trips should be one or two days. Last
year girls had issues with availability at that time of year and need to return to dorm. Suggested
that it can be done differently for each school.
2. New Business
Alicia Yepez reported that Brian Yepez drafted a form letter to solicit donations to
school. He also drafted a letter to the Sherwood Tribe to thank it for the generous donation. He
will approach couple tribes.
She also presented a Banner created/donated for the rummage sale which will work for
future years. Shokawah Casino made the banner for the school. She mentioned that we should
start organizing a sale for this year now and have it before the field trips.
______________ Teacher - projects. Two tons of sand was donated by Granite (on
Talmage) - it was used for Girls School sand boxes. We could also get some for boys school if
wanted.
A pottery shop in town will donate clay to schools and when used will fire it for us.
Once clay is used, they will replace it with more.
Would like fencing for girls school. There are more visitors walking around and want
more safety for girls as they are near entrance where visitors are. Do not like tall chain link,
would like 4 foot picket fence like exists around playground. Will start right by road, will fix
later, estimated cost $1,700 (posts expensive). Will post a letter to Home Depot as they make
school donations of supplies often. Mr. Bostick reported that Home Depot donated lumber for
deck between dorms, and all they wanted was a certificate of appreciation to hang up.
Girls school is also seeking someone who can sew to make meditation mats for girls.
Mats made with cotton batting to keep floor warm in winter. Need 17 for elementary and 20 for
high school. ___________ can help.
Discussion was held regarding scheduling of next Meeting.

September 2010
Call to Order. 6:10 pm
Self Introductions (around the room), Welcome.
Approval of Agenda, Minutes
Budget. Zhao Qiu went over School Budget for parents’ information, and then she reviewed the
proposed PTO budget. Review and comments. Jennifer O’Brien moved to approve the proposed
Budget, Brian Yepez seconded. A note that an addition for food and child care for PTO meetings, rather
than chipping in each meeting ($50/mtg).
Boys School Presentation
Mr. Bostick reported they had a “knock out” picnic at Todd Grove. The Moon Festival is
celebrated on Friday 24th of Sept (Moon Day actually the 22nd). Confucius Day - 28th Sept. Boys School
will host teachers in the morning.
Girls School
ASB Goals: A student exchange program with Ukiah High School for a day; get a sister school - a
Buddhist school in Hawaii; Go Green - selling green products - contact Christine if want to purchase,
will give order forms to PTO, ordering wholesale, no profit or fundraising, strictly for purpose of going
green; Teacher’s Day - make a video pretending to be teacher; If can raise money want to go to Mexico
again (Community Service/High School); Berkeley - one day on Oct 30 for a day trip, 4 people have ride.
Need rides for 14 more people trip is a workshop for Modeling UN conference. Call Girls School HS
Office/Alisha/Megan; the Elementary teachers stated that later on next semester 2d/3d grade field trip to
Wells Fargo Ctr, will need drivers. Track club needs hurdles.
The ASB had a Welcome back party - - junior high/high school. There were games, etc overnight. Oct
10 at the Saturday Afternoon Club a meeting promoting environmental issues. Organizing a walk there
(no cars to event). Meet at girls school 9am.
HURDLES - reaching out to Ukiah High School and College - looking for support and equipment, will
follow up.
Committees
Field Trips, Teacher Appreciation, people to facilitate activities.
Girls School PTO trip. Ideas for trips/places - next meeting
Boys Trip - Alicia Yepez paid guides (2) and has not been reimbursed. Fundraiser for rummage - $122.
They paid $200 to guides and propose to keep the $122 in exchange.
Nominations for Vice President - - run at least 1, possibly 2 meetings.
New Business
A discussion regarding possible exchange between dorm/home students. Determined not feasible.
Meetings - a discussion regard days and times was held. 6pm ok. Thursdays are ok

Snacks for meeting - not set up. Childcare - an adult is needed. Janice Haschack volunteered.
